Stack of business correspondence cards arranged beside a contract folder and pen.

Good contract renewal emails make the requested action, supporting evidence, owner, and due date easy to understand. They should not make claims that your team has not verified.

These examples are adaptable starting points. Replace every bracketed field and check the agreement before referring to a deadline, right, or contractual restriction.

1. Ask the vendor to start the renewal review

Subject: Renewal review for [service or agreement]

Hello [name],

We are beginning our review of [service or agreement] ahead of its expected renewal on [date]. Please send the complete renewal proposal, including recurring and one-off charges, quantities, package scope, term, and any changes to the current terms.

Please provide it by [date] so our finance and business owners have time to review it.

Regards,

[name]

Ask early enough to reconcile the quote before your internal decision date. A renewal date alone does not tell you when action must be taken.

2. Request clarification of a price increase

Subject: Clarification requested for [agreement] renewal quote

Hello [name],

We compared the renewal proposal dated [date] with our current agreement and need clarification on the following items:

- Current comparable recurring amount: [amount and period]

- Proposed comparable recurring amount: [amount and period]

- Quantity or scope differences identified: [details]

- Relevant pricing provision for review: [reference]

Please provide the calculation and contractual basis for the change, including any discount expiry, index adjustment, quantity change, or added service.

Thank you,

[name]

Follow the renewal quote comparison method before inserting figures. Keep unresolved interpretations framed as questions rather than accusations.

3. Request fewer seats or a smaller package

Subject: Revised scope requested for [service] renewal

Hello [name],

Our renewal review indicates that we expect to require [quantity] [seats/units] and [package or features] for the next term. Please provide a revised proposal on that basis, showing the unit price, total recurring price, term, and any effect on discounts.

We have not approved the current proposal. Please return the revised option by [date].

Regards,

[name]

Confirm that the agreement allows quantities to change at renewal. A reduction in active users does not automatically reduce a contractual minimum.

4. Ask for alternative term options

Subject: Alternative renewal options for [service]

Hello [name],

Please provide comparable proposals for:

- A one-year term with [scope and quantity].

- A multi-year term with the same scope and quantity.

- Any option that preserves flexibility to reduce quantities at an anniversary.

For each option, please show recurring charges, one-off fees, billing schedule, price changes, and renewal provisions.

Regards,

[name]

Compare total commitments, not just the first-year rate. The annual versus multi-year guide explains the decision factors.

5. Internal reminder to the business owner

Subject: Decision needed — [vendor/service] renewal

Hi [owner],

We need your recommendation on [vendor/service] by [internal date]. The verified notice deadline is [date], and the current term is expected to end on [date].

Please confirm:

- Whether the service is still required.

- Expected users, volume, and package for the next term.

- Any material service issues or planned replacement.

- Your recommendation: renew, renegotiate, replace, or end.

The supporting agreement and quote are available at [location].

6. Escalate a stalled decision

Subject: Action required by [date] — [vendor/service]

Hi [approver],

The decision on [vendor/service] remains open. To preserve the available options, approval or escalation is required by [date].

Current recommendation: [summary]

Annual commitment under review: [amount]

Open questions: [list]

If no decision is made by the internal date, the team may have less time to complete the required notice or negotiation process.

Do not say that a renewal will definitely occur unless the responsible reviewer has confirmed that conclusion.

7. Confirm an agreed renewal outcome

Subject: Confirmation of agreed renewal terms — [agreement]

Hello [name],

Thank you for the revised proposal. Our understanding of the agreed commercial terms is:

- Services and quantity: [details]

- Term: [dates]

- Recurring price: [amount, currency, and period]

- One-off charges or credits: [details]

- Pricing at the next renewal: [details]

Please send the final agreement for authorised review and signature. No commitment is created by this email unless agreed under our applicable approval and contracting process.

Make templates part of the renewal record

Save meaningful vendor correspondence alongside the agreement, quote, approvals, and final signed terms. Update the contract record only after the outcome is confirmed, and distinguish a proposed saving from a realised vendor saving.

If you already have a quote, use Renewly's Quote Analyzer to organise the contract-versus-quote review before drafting the next email.
